Clarity Equine Privacy Policy

Last updated: October 27, 2026

Clarity Equine respects your privacy. This policy explains how we collect, use, disclose, and protect personal information when you contact us, visit our website, book services, or participate in our programs.

Information we collect

Depending on the service, we may collect:

  • Names, email addresses, telephone numbers, and billing addresses.

  • Participant ages, parent or guardian details, and emergency contacts.

  • Booking details, attendance, payment records, and correspondence.

  • Information provided on intake forms, waivers, and consent forms.

  • Relevant health, accessibility, or support information needed to plan safe and appropriate participation.

Our website and booking providers may also collect technical information, such as IP addresses, browser details, and information about website use, through cookies and similar technologies.

How we use information

We use personal information to manage inquiries and bookings; provide and adapt services; communicate about appointments, cancellations, and program changes; process payments and refunds; maintain business records; and meet applicable legal requirements.

We request consent for optional promotional communications and for using identifiable photographs or videos for marketing. You may decline these optional uses without affecting access to services.

Who receives information and how it is shared

We share information only as reasonably necessary for the purposes described in this policy, with your consent, or as permitted or required by law.

Recipients may include:

  • Authorized coaches, administrative staff, and professionals involved in delivering your services.

  • Technology providers used to operate our business, including Acuity Scheduling for bookings, Stripe for payments, QuickBooks Online for accounting, Google Workspace for communication and document storage, and Make for connecting administrative systems.

  • Professional advisers, insurers, funding organizations, or emergency responders when necessary and appropriately authorized.

  • Authorities when disclosure is legally required.

Information may be shared through booking and payment forms, electronic system integrations, restricted electronic records, email, telephone, or necessary paper records. We limit the information shared to what is needed for the purpose.

We do not sell personal information.

Payments

Payments are processed through payment providers such as Stripe. Payment card details are handled through the payment provider’s systems. Clarity Equine uses transaction information to manage billing, receipts, and refunds.

Sensitive information and psychotherapy services

Health and support information is used only for relevant service planning, safety, and authorized care coordination.

Where psychotherapy is provided with an independent therapist or partner organization, additional privacy notices and consent forms may apply. We explain the applicable arrangements, including responsibility for clinical records and information sharing, during intake. Administrative access to bookings and billing does not automatically authorize access to clinical notes.

Children and youth

For participants who cannot provide meaningful consent themselves, we obtain consent from a parent, guardian, or other legally authorized representative. We consider a young person’s capacity to understand when explaining privacy choices and seeking consent.

How we protect information

We use safeguards appropriate to the sensitivity of the information. These include password-protected accounts, access limited to people who need the information for their work, secure storage of paper records, and the security features available through our service providers.

No method of electronic transmission or storage is completely secure.

Storage and retention

Some service providers may process or store information outside Prince Edward Island or Canada. Information processed abroad may be subject to the laws of that jurisdiction.

We retain personal information only for as long as needed for the purposes for which it was collected and to meet applicable legal, accounting, insurance, and professional obligations. When information is no longer required, we securely destroy, delete, or anonymize it.

Your choices and access

You may contact us to request access to your personal information, request a correction, ask about our privacy practices, or withdraw consent, subject to legal or contractual restrictions.

Withdrawing consent for information essential to a service may affect our ability to provide that service. We will explain any relevant consequences. We may verify your identity before responding to an access or correction request.

You can manage cookies through your browser settings. Disabling some cookies may affect website or booking features.

Changes to this policy

We may update this policy as our services or practices change. The current version will be posted on this page with its updated date. Where required, we will provide additional notice or seek new consent.
